Hi, got a call from my supervisor asking me whether I would be interested in going to Germany on a 2 weeks business trip later this year. So I wanted to know about the expense and stay like will the company be paying for everything from travel to hotel to inter City commute etc. And do we get any allowances? Like what's the over all the procedure here?

Hi! They have put all portals together in one single portal now to address these kind of procedures called FlexAbroad. Be it short term like yours or long term assignments, this is a one stop portal you will be using. Coming to your question, here’s what will happen. When you say OK, your supervisor if not a project code owner, will send your name to the project code owner and onsite manager along with the quotation of the cost it will incur. Once it’s approved by both of them, they’ll start your VISA process. Since Germany comes under Schengen Area, it’ll be a Schengen Visa. The company will take care of the expenses for your VISA. Although, you need to get all your documents in place, like your passport, payslips, bank statements, ITR etc. Once your VISA is approved and arrives, they’ll start looking for your flight tickets & hotel for the number of days you’ll be going. Company will bear the cost of your hotel and flights. It’ll also provide you with €50 per day as per diem for the number of days of your trip for all your expenses including travel between your hotel and office, food etc. Flights and hotel will have some cap within which they’ll book. Flights will be taken care of directly. Hotel and per diem, they’ll provide you the amount in a Travel Card / Forex Card as an advance. You need to pay the hotel using that amount and once you’re back, you need to provide the invoice, get it approved from your project code owner and Finance team and settle your advance. Per diem: you can make it completely taxable if you aren’t paying any tax, else if you provide bills for around 70-80% of the per diem, they’ll not deduct any TDS for it. And will the hotel be close to the client office? I mean will it be at a walkable distance? And what does 'per diem' means? I currently do not belong to the taxable income bracket. Also in my case the client will be bearing the expenses so what will change in this case?

Depends on the pricing of the hotels near your office. If it’s crossing the cap, then you’ll need VP approval for such kind of bookings, so mostly they’ll not book if it’s pricey near your office. And, per diem means, per day allowance, I.e. €50 in your case. I don’t think the client will be bearing your expenses for such short term and even if they do, I don’t think they’ll be paying you in anyway directly. Maximum one day they might take you to lunch and that’s all. Depends on your client.

Well, my supervisor called me and started asking questions about the project like how confident I'm with it, if a client asks me something whether I'll be able to explain it etc. And at the end he told me that there's some meetings going on and asked me if an opportunity comes will I be willing to travel to Germany for project related work

Yes, You will get all like, VISA expenses, Flight, Hotel expenses, PerDiem(perday 50 EURO for food and travel of two weeks). Even there is one policy with which you can claim 10k for stuffs like, winter clothing, bags, utencils and many more with condition that if you claim above you have to stay in company for 1 years else you have to give it back in Fnf.
