Seperation process

What do we do for the separation process? Does anyone have any ideas on that? I have received mail for the separation process but the person is always either out of office or not available on call. So how do I download and upload those documents which are sent in the mail for the further process? Anything apart from that we do?? Please let me know if anyone has any idea.
